This video describes the steps for creating an order manually in the system, including adding products and generating invoices.
Video structure #
Step 1: Add an order 0:01
- Go to the ‘Shop’ menu.
- Click ‘Orders’.
- Select ‘Add order’.
Step 2: Enter the customer details 1:12
- Click the pencil icon to enter the customer details.
- Fill in the billing details, including the email address for the invoice.
Step 3: Add products 1:43
- Scroll down and click ‘Add items’.
- Click ‘Add product’ and search for the product you want.
Step 4: Recalculate tax 2:16
- Click ‘Recalculate’ after adding all items to set the tax correctly.
Step 5: Add extra charges 3:07
- Add coupons or coupon codes if needed.
- Add shipping costs or extra taxes.
Step 6: Save the order 4:20
- Recalculate the VAT and create the order (if you do not set an extra action and use the basic settings, no invoice is sent to the customer).
Step 7: Generate the invoice 7:10
- Scroll down and click ‘PDF invoice’ to generate the invoice manually.
Step 8: Send the order details to the customer 7:35
- Click ‘Email invoice / order details to customer’ to send the invoice and the payment information. At that moment the invoice is also generated, if you had not already done so manually.
- The order email also contains a payment link. If the customer clicks it they go straight to the standard Shop Checkout and can pay with the payment method they prefer.
Step 9: Update the order status 11:41
- If the customer pays through the order link themselves, with iDEAL for example, the order status is updated automatically to ‘Completed’ after the payment.
- If the customer pays by bank transfer, you can change the order status to ‘Completed’ manually once you have received the payment.
Step 10: Process a refund 15:09
- In the order, scroll down to just below the products and click ‘Refund’.
- Set what you want to refund.
Step 11: Send an email to the customer 18:38
- In the widget area on the right you can optionally choose a specific email under ‘Send email’ to inform the customer about the order and, for example, to send the credit note to the customer manually (again).
Tips #
- Make sure you enter all customer details correctly to avoid mistakes.
- Remember to recalculate the tax after every change to the order.
- Check the email settings regularly to make sure all communication is sent correctly.
