Your Autorespond subscription includes a fixed bundle of contacts, emails, users and (with the Shop module) orders and products. If you use more than that bundle in a month, we settle the excess the month after. This article explains exactly what we count, how we calculate, when you pay and where you can always find your own figures. No surprises, just step by step.
Where do you find it? Your usage per month and the amount of your next settlement are shown at mijn.autorespond.nl under My account > Usage. In your own Autorespond environment you see the same figures under Administration > Usage. The rates are on the calculator.
1. What is in your bundle? #
Every subscription includes the following per month. If you stay within this, you pay nothing extra.

All amounts are excl. VAT. Orders and products only count if you have the Shop module.
2. What exactly do we count? #
- Contacts: all contacts in your CRM, regardless of their status. Unsubscribed contacts count too, as long as they are in your CRM. If you delete them, they no longer count.
- Emails: all emails successfully sent from your environment during the month: campaigns, automations, transactional mail, confirmations. Failed sends do not count.
- Orders: all orders placed in your shop during the month, regardless of status. Orders you delete afterwards still count for that month. Test orders from the Autorespond team do not count.
- Products: all products in your shop, published, draft or private. Products in the bin do not count.
- Users: all accounts in your WordPress environment (customers, course participants, members, team members). Accounts of the Autorespond team do not count.
3. Closing figure or peak figure? #
For contacts, products and users we look in principle at the position at the end of the month. Emails and orders are always monthly totals.
There is one exception, and it is worth knowing: if the highest position in a month is more than 20% above the closing position, we calculate with that highest position. This prevents someone importing 50,000 contacts on the 2nd of the month, sending a mailing and deleting everything again on the 30th. So if you temporarily import large numbers of contacts or products, be aware that this peak counts. Your usage overview always shows the peak position alongside, so you are never caught out.
4. A worked example #
Suppose you have the Shop and Community modules and in August your usage looked like this: 3,480 contacts at the end of the month, but a peak of 5,200 halfway through because of an import you deleted again; 78,000 emails sent; 130 orders; 62 products; 640 users.
- Contacts: the peak of 5,200 is more than 20% above 3,480, so we calculate with 5,200. Above the 1,000 free contacts: 4,000 × €5 per 1,000 plus 200 × €4 per 1,000 = €20.80.
- Emails: included is 10 × 5,200 = 52,000. You sent 26,000 more: 26 × €0.50 = €13.00.
- Orders: 130 minus 50 free = 80 extra: 50 × €0.25 plus 30 × €0.20 = €18.50.
- Products: 62 minus 50 = 12 extra, which is one started block of 50 = €5.00.
- Users: 640 minus 500 (Community module) = 140 extra, which is one full block of 100 = €2.00.
Total: €59.30 excl. VAT (€71.75 incl. VAT). This amount appears as one line on your invoice, with the breakdown per item below it.
5. When and how do you pay? #
- Around the 3rd of every month you receive the invoice for the previous calendar month. Only what falls above your bundle is charged. If you stayed within the bundle, you do not receive an invoice. We do not charge amounts under €1.
- If you pay your subscription by direct debit, the usage amount is collected around the 3rd through that same mandate. You always receive an invoice with it showing the full usage overview.
- If you do not (yet) pay by direct debit, you receive the invoice with a payment link. You pay by iDEAL or Bancontact. With that first payment you also set up a mandate, so that following months are collected automatically.
- Would you rather pay yourself each month? Then switch off automatic renewal in My account for the subscription Monthly variable costs. You then receive a monthly invoice with a payment link.
- The amount of your next settlement is always shown in advance under My account > Usage, so you know before every direct debit what will be collected.
6. How to keep your usage costs low #
- Clear out old products. Products you no longer sell can be moved to the bin; do that before the end of the month and they will not count.
- Delete contacts you no longer need. Unsubscribed contacts you no longer use for anything do still count as long as they are in your CRM.
- Do not import large numbers temporarily without reason. A peak counts if it is clearly above your closing position (see step 3).
- Check in each month. Under My account > Usage you see the current month as a forecast, so you can always adjust.
Frequently asked questions #
I have no extra usage. Do I still get an invoice? #
No. If you stay within your bundle, or the amount is lower than €1, you do not receive a usage invoice that month.
Do cancelled or refunded orders count? #
Yes. We count all orders placed during the month, regardless of their status afterwards. Test orders from the Autorespond team do not count.
I imported a large file and cleaned it up afterwards. What do I pay? #
If the highest position that month is more than 20% above the closing position, we calculate with that highest position. You always see the peak position in your usage overview.
Why does my number of contacts differ from what I see on the CRM dashboard? #
We count all contacts, including unsubscribed and bounced ones. The CRM dashboard shows only the active contacts by default.
Can I still adjust the usage of a completed month? #
No. A completed month is final; the figures are based on daily measurements in your own environment. What you clean up now counts from the current month onwards.
